This Talent Release and Media Consent policy explains how OMS Media obtains and manages permission to film, photograph, record, edit and publish the people who appear in the media we produce. It applies to interview subjects, on-camera presenters, voice artists, event attendees, staff, students, clients and anyone else whose image, voice or name is captured during an OMS Media production, whether on location, in a studio, at an event or online.
Video, podcast and photography work almost always captures identifiable people. A clear, recorded consent process protects the people who appear in our media, protects our clients, and ensures that finished productions can be published with confidence. It is also part of how OMS Media meets its obligations under the Privacy Act 1988 (Cth) when handling images, voices and names.
A talent release records a participant's permission for OMS Media and its client to film, photograph or record them; to edit that material reasonably, including cutting, sequencing, colour grading, captioning and combining it with other footage, music or graphics; and to publish the finished media in the formats and channels described in the release, such as websites, social media, presentations, broadcast or internal communications. The release also records how long the permission lasts, whether the participant's name and role may be displayed, and any restrictions the participant has requested.
Wherever practicable we collect consent through a written or digital release form before or on the day of the shoot. For interviews and podcast recordings, an on-record verbal confirmation may be captured in addition to the form. Written consent is our standard and is required before material featuring an identifiable person is used in advertising or other commercial publication.
Where a participant is under 18, consent must be provided by a parent or guardian before filming or photography takes place. We take additional care when productions involve vulnerable people, and where a client organisation has its own safeguarding, child-safety or image-use policies that are stricter than ours, we follow the stricter standard.
When we film or photograph at events, consent is typically managed through visible signage at the venue, notices in event registration terms, or announcements at the start of sessions. Attendees who prefer not to appear can tell a crew member on the day, and we will take reasonable steps to avoid capturing them or to edit them out of published material.
Where a client arranges the participants for a production - for example its own staff, students or members - the client is responsible for informing those participants and ensuring appropriate releases are in place. OMS Media can supply release forms or manage the consent process on the client's behalf when this is included in the engagement scope.
Consent covers reasonable editing needed to produce professional media. We do not deliberately present participants in a false, demeaning or misleading context, and we do not reuse footage of identifiable people for a materially different purpose without fresh consent.
A participant may withdraw consent by contacting us at any time. Withdrawal applies to future publications, and we will take reasonable steps to remove or re-edit published material within our control. Media that has already been broadcast, printed or distributed to third parties may not be fully retrievable, and we will explain what is and is not practicable in each case.
Signed releases and consent records are stored securely and retained for as long as the related media remains in use, so that publication rights can be verified. They are handled in accordance with our Privacy Policy.
